InterWeave SmartIntegration: Pre-Flight Checklist

This checklist ensures that your QuickBooks environment, Salesforce/Creatio instance, and the InterWeave SmartAgent are aligned for a seamless data flow.

Phase 1: QuickBooks Server Preparation

  • [ ] Admin Access: Ensure you have the QuickBooks "Admin" credentials available.
  • [ ] Single-User Mode: Switch QuickBooks to Single-User Mode for the initial connection.
  • [ ] QODBC Installation: Download and install the QODBC driver on the host server.
  • [ ] Certificate Authorization: When the QuickBooks pop-up appears, select "Yes, always; allow access even if QuickBooks is not running."
    • Note: Select the option to "Login as: Admin" for the integration service.
  • [ ] Disable Auto-Updates: Navigate to Help > Update QuickBooks > Options and set Automatic Update to No.

Phase 2: CRM Configuration (Salesforce / Creatio)

  • [ ] Custom Field Mapping: Verify that the "QuickBooks ID" and "Integration Sync" fields are created on the AccountContact, and Opportunity objects.
  • [ ] Data Scrubbing: Ensure Account names do not exceed 41 characters and contain no colons (:).
  • [ ] User Permissions: Ensure the Integration User has "Modify All" permissions for the relevant objects.

Phase 3: Connectivity & Handshake

  • [ ] Port Forwarding: If using an on-premise server, ensure Port 8001 (or your designated QRemote port) is open and forwarded.
  • [ ] Firewall Exceptions: Add an exception for the QRemote.exe and InterWeave SmartAgent services.
  • [ ] The "Canary" Test: Create a test customer (e.g., ZZZ-Test) in QuickBooks and run the QBCust2SFAcctNF flow in the InterWeave Portal.

Phase 4: Financial Workflow Policy

  • [ ] Invoice Numbering: Confirm if QuickBooks or Salesforce will own the invoice number sequence. (Default Recommendation: QuickBooks).
  • [ ] Tax/Terms Matching: Verify that Sales Tax codes and Payment Terms (e.g., Net 30) are spelled identically in both systems.
  • [ ] Time Zone Alignment: Verify the server time zone in the InterWeave Company Profile matches the QuickBooks host server.

Phase 5: Go-Live & Monitoring

  • [ ] Stop/Start Service: After configuration, restart the InterWeave Service to refresh the cache.
  • [ ] Log Review: Perform a manual sync of 5 records and review the Integration Manager Logs for any "Status 3100" errors.
  • [ ] Schedule: Set your flows to "Active" and define your sync interval (e.g., every 15 minutes).
